This policy explains how DigitsCode handles personal data on the public website and in the Employee Self-Service (ESS) mobile app. It is written so you can read it on a phone.

Who we are

DigitsCode (Digital Integrated Transformation Solutions) builds business software, including the ESS app that connects to an employer’s Odoo system. For the public website, DigitsCode is the organisation you contact. For employee HR data inside the ESS app, your employer is the data controller. DigitsCode is the app vendor and processes that data only to provide the service your employer configured.

Public website

If you send a message through www.digitscode.com, we use the details you give us (such as your name, email, and the content of the message) to reply and to keep a support record. The site also uses technical data needed to run it, including a session cookie and your language choice. Cookies are described in the Cookie Policy.

Data the ESS app sends

When you use the ESS app, the following may be sent to your employer’s Odoo database:

  • Your login identifier, so the app can sign you in.
  • Profile fields you choose to submit.
  • Leave and other requests you file.
  • Attendance coordinates, only when your employer enables geofence. If geofence is off, the app does not require your location for clock-in.
  • A device push token (FCM on Android or APNs on Apple) so the app can deliver notifications to that device.

Why we process it

The purpose is to let you use the ESS features your employer turned on: sign in, view and update allowed profile fields, submit leave and requests, clock in when location is required, and receive notifications. Website messages are processed so we can answer you. We also process limited technical data to keep the service secure.

Legal basis

ESS data is processed to perform the service your employer asked DigitsCode to provide, and to meet security and legal duties. Website enquiries are processed to respond to you. Where a law requires a choice (for example optional location, or non-essential cookies), that choice is presented in the app or on the site.

We do not sell personal data

DigitsCode does not sell personal data. We do not use employee HR data for advertising.

Who else receives it

HR data is stored in your employer’s Odoo database and is available to your employer according to the access rights they set. The database is hosted on the Odoo host your employer uses. DigitsCode and that host process the data so the app and website can run. We may also disclose data when the law requires it.

How long we keep it

ESS data is kept while your employer uses Odoo, and for any further period your employer or the applicable law requires. A device push token is kept while that app registration is active. Website messages are kept long enough to handle the request and our support records.

Security

The app talks to Odoo over authenticated connections. What you can see is limited by your employer’s user rights. Do not share your password. Tell your employer if you think someone else used your account.

Your rights

To access, correct, or delete HR data your employer controls, contact your employer. For the website, or to reach DigitsCode as the app vendor, email info@digitscode.com. You may also have rights under the law that applies to you.
